This Privacy Policy explains how VoiceSpan Translator collects, uses, stores, and shares information when you use our website, account system, calling features, live transcription, translation, messaging, and text-to-speech features.

VoiceSpan Translator is a communications product. To deliver live translated calls, we process audio, text, metadata, and account information, including through third-party service providers.

Important notice

VoiceSpan Translator uses third-party providers to process call audio and text. To provide transcription, translation, and spoken translated playback, we may send call audio, typed messages, transcript text, translated text, selected language settings, call or message routing identifiers, and related technical metadata to outside service providers.

1. Information We Collect

We may collect the following categories of information:

  • Account information such as your email address, password credentials handled through Firebase Authentication, call ID, selected languages, and profile settings.
  • Contact and messaging information such as saved contacts, message threads, blocked users, and message content you send through the service.
  • Call metadata such as caller and recipient identifiers, timestamps, call status, connection events, and related troubleshooting or diagnostics information.
  • Audio content from your microphone when you use live transcription or translated voice playback features.
  • Hosted room metadata such as room identifiers, participant joins and removals, role changes, moderation actions, pause events, and meeting credit usage events.
  • Transcript and translation content created from spoken audio or typed messages.
  • Generated speech content created when translated text is converted into spoken playback.
  • If recording or saved replay features are introduced, stored audio, video, transcript, caption, replay, consent, and related archive metadata.
  • Technical information such as IP address, browser type, device information, approximate connection details, logs, and service health or rate-limit events.

2. How We Use Information

We use information to operate and improve VoiceSpan Translator, including to:

  • Create and maintain user accounts.
  • Authenticate users and secure access to the service.
  • Route calls, manage call IDs, and connect users.
  • Transcribe speech into text.
  • Translate text into selected languages.
  • Generate spoken translated playback through text-to-speech.
  • Display live captions, subtitles, call history, and messages.
  • Operate hosted rooms, participant controls, moderation actions, and meeting credit accounting.
  • If introduced, provide recording, replay, archive access, retention, consent tracking, download, deletion, and support functions related to saved communications.
  • Prevent abuse, fraud, excessive usage, and unauthorized activity.
  • Debug failures, monitor service quality, and improve performance.
  • Comply with legal obligations and enforce our Terms of Service.

3. Audio, Transcript, Translation, and Speech Processing

When you use live translated calling features, VoiceSpan Translator may capture audio from your device, send that audio to service providers for speech-to-text processing, submit resulting text for translation, and optionally send translated text for text-to-speech generation.

This means your spoken words may be converted into transcripts, translated text, and generated speech so the service can function. These processing steps are central to how VoiceSpan Translator works and are not merely optional background analytics.

For these features to work, third-party providers may receive some combination of your microphone audio, typed message content, transcript text, translated text, source and target language choices, user or call identifiers needed to route the request, and technical metadata required to return the result to VoiceSpan Translator.

We may also process transcripts and recent translated speech locally in the browser to reduce duplicate requests, improve audio behavior, or limit repeated processing caused by echo or feedback.

4. Third-Party Service Providers

VoiceSpan Translator relies on third-party providers to deliver core functionality. Based on the current project architecture, these providers may include:

  • OpenAI for speech-to-text and text-to-speech processing.
  • Google Cloud Translation API for text translation.
  • Firebase for authentication and database functions.
  • Render for backend hosting.
  • DigitalOcean and coturn infrastructure for TURN relay and call connectivity support.
  • Other infrastructure or logging vendors that may support hosting, networking, observability, rate limiting, security, or support operations.

These providers may receive the information reasonably necessary to perform their role, including audio, text, translations, language preferences, identifiers, and technical metadata related to a call or message. Their own terms and privacy practices may apply to the data they process on our behalf.

5. Legal Bases and Consent

By using VoiceSpan Translator, creating an account, making or receiving a translated call, or sending messages through the service, you acknowledge that the service requires processing of audio, transcripts, translations, generated speech, and related metadata.

You are responsible for obtaining any permissions or consents required before recording, transmitting, translating, or sharing another person's voice or content through VoiceSpan Translator.

If VoiceSpan Translator introduces call or room recording, saved replay, transcript export, or similar archive features, we may display notices, banners, tones, badges, or prompts related to recording status. Those product measures are intended to support transparency, but they do not replace your own legal responsibility to obtain any required consent before recording or storing another person's communications.

6. Sharing of Information

We may share information in the following circumstances:

  • With service providers that help us operate the product.
  • With other users as necessary to deliver calls, captions, translated content, messages, and related communication features.
  • When required by law, regulation, legal process, or governmental request.
  • To enforce our agreements, protect rights and safety, investigate misuse, or prevent fraud or abuse.
  • In connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.

7. Data Retention

We retain information for as long as reasonably necessary to operate the service, provide account functionality, maintain call history or messaging features, comply with legal obligations, resolve disputes, enforce agreements, and protect the service.

Retention periods may vary by data type. Some audio, transcript, translation, generated speech, or log data may be transient, while some account, contact, message, history, fraud, or support records may be kept longer.

If recording or saved archive features are introduced, we may retain recording files, replay artifacts, transcript exports, consent logs, deletion logs, and related metadata for the period described in the product, account settings, or support materials, and longer where reasonably necessary for abuse prevention, dispute resolution, billing, safety, or legal compliance.

8. Security

We use reasonable technical and organizational measures designed to protect information. However, no method of transmission, storage, or processing is completely secure, and we cannot guarantee absolute security.

You are responsible for safeguarding your account credentials, using secure devices and networks, and notifying us if you believe your account has been compromised.

9. International Processing

VoiceSpan Translator and its providers may process and store information in countries other than your own. By using the service, you understand that your information may be transferred to and processed in jurisdictions with different data protection laws.

10. Children's Privacy

VoiceSpan Translator is not intended for children, and you may not create an account or use the service if you are under 16 years old. If we learn that an account was created or used by someone under 16, we may suspend or delete the account and associated data, subject to legal and operational obligations.

Users are responsible for providing truthful age information during signup. VoiceSpan Translator may request additional verification or remove access if age-related compliance concerns arise.

11. Your Choices

You may be able to:

  • Update language settings and account profile information.
  • Stop using translated calling features at any time.
  • Delete contacts, call history, or messages where those controls are available.
  • If introduced, manage recording settings, stop a recording, delete stored recordings, or remove saved archives where those controls are available.
  • Stop using the service or request account deletion, subject to legal or operational retention needs.

12. California and Other Regional Rights

Depending on where you live, you may have privacy rights related to access, deletion, correction, portability, or objection to certain processing. Because VoiceSpan Translator is still evolving, practical fulfillment methods may vary by region and legal requirement.

If you make a privacy request, we may need to verify your identity before acting on it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective or last updated date. Your continued use of VoiceSpan Translator after changes become effective means the updated policy applies to your use.

14. Contact

If you need to provide a contact address later, replace this section with your business email and mailing address. Until then, you should not present this page as final legal advice, and it should be reviewed by counsel before large-scale commercial launch.
